Job Descriptions
Please note that all positions are volunteers. For the elected positions, individuals are elected to the Executive Committee, which then meets and decides who does what job. Please see the ByLaws for more information.

Elected Positions:
President, Vice President, Secretary, Treasurer, Membership

Appointed Positions:
Touchstone Editor, Webmaster, Volunteer Coordinator, Area Representative, Advertising Manager, Librarian, Store Manager, Conference Registrar.

 

PRESIDENT
Term is two years.

Reports to OMTA Executive Committee

The president is the leader of OMTA and coordinator of the Executive Committee. Presides over monthly EC meetings, prepares agenda in collaboration with all committee heads and EC members.

Job Objective: Hold the focus and vision of OMTA and articulate planning and activities from that larger perspective.

Requirements:

  • Current license as LMT
  • Read and be familiar with current By-Laws
  • Agree to follow Code of Ethics, Mission Statement, Vision, Goals and decision-making process
  • Agree to follow OMTA operating guidelines
  • Served in any position on the Executive Committee for at least one year
  • Be a member of OMTA

Tasks

  • Attend and run monthly meetings, conferences and conference planning sessions, and all phone and in-person meetings.
  • Request and receive reports from all EC members and committee chairs.
  • Confirm adequate financial records biannually
  • Prepare and email agenda for each meeting
  • Provide assistance, guidance, and support for committee chairs.
  • Refer appropriate items to EC for decision-making process.
  • Maintain good working relationship with massage groups in Oregon.
  • Develop and maintain a school outreach program with the Vice President.
  • Welcome people to OMTA events.
  • Represent OMTA to the public.
  • Cosigner for Treasurer when needed.
  • Transfers all presidential information to incoming President in the form of a notebook and/or handbook.

Checks or cash for OMTA:

  • Follow established Treasury Guidelines.

Vice President
Term: two years

Reports to OMTA Executive Committee

Attends monthly OMTA meetings, presides as President when necessary, works with team to develop policy, guides designated activities and presides as conference coordinator. Oversees contracts with conference sites and presenters.

Job Objective: Support President, oversee elections and coordinate conferences.

Requirements:

  • Current license as LMT
  • Read and be familiar with current By-Laws

  • Agree to follow OMTA operating guidelines
  • Be a member of OMTA

Tasks

  • Attend monthly meetings, conferences and conference planning sessions, and all phone and in-person meetings.
  • Preside as President when necessary
  • Take on researching particular tasks, issues that need clarifying, action.
  • Be accessible to President for consultation, emergency policy.
  • Help keep meetings on task and within agreed upon processes.
  • Coordinate all conferences.
  • Form committee to produce conferences.
  • Maintain accurate records of conference registries,
  • send necessary correspondence,
  • send and confirm contracts with presenters,
  • make cabin assignments
  • make class lists.
  • Transfers all vice-presidential information to incoming Vice President.
  • Develop and maintain a school outreach program with the President.

SECRETARY
Term: two years

REPORTS TO: OMTA Executive Committee (EC).

JOB SUMMARY: The Secretary is responsible for taking minutes for the Executive Committee and also handles all correspondence designated by the EC. The Secretary maintains files and records pertaining to OMTA.

JOB OBJECTIVE: Keep organized and orderly files and records, including minutes of meetings.

REQUIREMENTS:
· Current license as LMT.
· Read and be familiar with current by-laws.
· Agree to follow Code of Ethics, Mission Statement, Vision, Goals and decision-making process.
· Agree to follow OMTA operating guidelines.
· Be a member of OMTA.

TASKS:
· Attend monthly meetings, conferences and conference planning sessions, and all phone and in-person meetings.
· Take and type minutes of all Executive Committee meetings and send copies to EC via omta-ec@yahoogroups.com e-mail in a timely manner.
· Post all minutes in a designated file on the Yahoo Group.
· Responsible for all designated correspondence.
· Maintain a file of all correspondence, documents and records pertaining to OMTA and its operation (archives) as well as information useful to its officers and committee members in an organized and orderly manner. This is to be reviewed with the President annually.
· Transfers all secretarial information to incoming Secretary in the form of a handbook and/or notebook.
· Checks or cash for OMTA: must send photo copy or scanned image of bill serial numbers or checks to the Treasurer. Cash copies will have a notation of who paid and what it was for. Follow established Treasury Guidelines.

TREASURER
REPORTS TO: OMTA Executive Committee (EC).

JOB SUMMARY: The treasurer is the custodian of finances for OMTA. Gives regular monthly and quarterly reports regarding the financial status of OMTA. Compiles and oversees annual budget.

JOB OBJECTIVE: Maintain legal financial records for OMTA and communicate current financial status to EC.

REQUIREMENTS:
· Current license as LMT.
· Read and be familiar with current by-laws.
· Agree to follow Code of Ethics, Mission Statement, Vision, Goals and decision-making process, and OMTA operating guidelines.
· Be a member of OMTA.

TASKS:
· Attend monthly meetings, conferences and conference planning sessions, and all phone and in-person meetings.
· Send monthly treasury report to EC via omta-ec@yahoogroups.com e-mail.
· Maintain files for all revenue and expenses including: administrative, membership, annual conference, workshops, Touchstone, OMTA store, IRS, and treasury to be reviewed with the President annually.
· Receive all monies from OMTA activities and enter these into Quickbooks; deliver them to bank depository.
· Meet biannually with OMTA bookkeeper to review books, records and Quickbooks.
· Reconcile monthly bank statements and balance checkbook; write and oversee all checks for OMTA business.
· Store receipts and reimbursements forms in folders in OMTA treasury files.
· Prepare monthly, quarterly and year-end reports; submit these to the Executive Committee for review and approval.
· Prepare the annual budget, for the EC's approval at the January meeting, based on the previous year's operating expenses.
· Transfers all treasury information to incoming Treasurer in form of disks, records, OMTA Treasury laptop computer and books. Assist with transferring signing abilities at banks.

PREFERRED SKILLS: Knowledge and experience with financial record keeping. Ability to use present system of OMTA financial record keeping, including Quickbooks software and equipment owned by OMTA. Good organizer, good personal relations, good communication skills, and computer skills.

MEMBERSHIP
REPORTS TO: OMTA Executive Committee (EC).

JOB SUMMARY: The Membership Coordinator manages the member database; sends information to new and renewing members; provides regular monthly and quarterly reports to the EC on dues received, expenses and membership census.

JOB OBJECTIVE: Manage memberships records in an orderly and timely manner.

REQUIREMENTS:
· Current license as LMT.
· Read and be familiar with by-laws.
· Agree to follow Code of Ethics, Mission Statement, Vision, Goals and decision-making process.
· Agree to follow OMTA operating guidelines.
· Be a member of OMTA.

TASKS:
· Attend monthly meetings, conferences and conference planning sessions, and all phone and in-person meetings.
· Sends monthly membership report to EC via omta-ec@yahoogroups.com e-mail.
· Answers phone and mail inquiries.
· Maintains change of address and membership information on computer database and supplies information to Webmaster..
· Supplies a list of email addresses and labels for snail mail recipients of Touchstone and other mailings.
· Supplies membership information to State Area Representative Coordinator, Area Representatives and Continuing Education University.
· Sends out renewal notices.
· Processes membership applications; sends out new member packets; sends out certificates and updated information to renewing members.
· Maintains printed forms and stationary supplies.
· Supplies a list of members interested in volunteering to Volunteer Coordinator.
· Transfers all Membership information to incoming Membership Coordinator.
· Uses present system of OMTA membership data management, including software and equipment provided by OMTA.

VOLUNTEER COORDINATOR
Appointed Position

REPORTS TO: OMTA Executive Committee (EC).

JOB SUMMARY: This position receives all the volunteer information from Membership and provides active volunteers for various tasks and events.

JOB OBJECTIVE: Identify suitable volunteers to fulfill tasks assigned and approved by the OMTA EC.

REQUIREMENTS:
· Current license as LMT.
· Read and be familiar with current by-laws.
· Agree to follow Code of Ethics, Mission Statement, Vision, Goals and decision-making process.
· Agree to follow OMTA operating guidelines.
· Be a member of OMTA.

TASKS:
· Attend monthly meetings, conferences and conference planning sessions, and all in-person meetings.
· Report regularly to EC via omta-ec@yahoogroups.com e-mail.
· Receive all volunteer information from Membership.
· Set up filing, retrieval system to keep this information available.
· Actively encourage all members to become active.
· Call on volunteers for various mailing parties, seminars, conference committee, fund-raisers, etc.
· Getting volunteers to help run conference(s). Tasks: moving tables, set up, take down, clean up, organization of raffle, requesting donations from manufactures for raffle items or items for auction at Conference. Send out Rally for the Raffle postcard a week before conference.
· Write thank-you notes to active volunteers.
· Sign up, assign tasks and oversee volunteer activity at conferences.
· Report list of active volunteers to EC.
· Transfers all volunteer information to incoming Volunteer Coordinator in form of records and notebooks.

AREA REPRESENTATIVE
Appointed Position

REPORTS TO: OMTA Executive Committee (EC).

JOB SUMMARY: Acts as the primary outreach person for OMTA in their area.

JOB OBJECTIVE: Establishes communication networks within their area, hosts CE events and meetings and recruits new members.

REQUIREMENTS:
· Current license as LMT.
· Read and be familiar with current by-laws.
· Agree to follow Code of Ethics, Mission Statement, Vision, Goals and decision-making process.
· Agree to follow OMTA operating guidelines.
· Some area travel may be necessary (travel reimbursed).
· Be a member of OMTA.

TASKS:
· Attend monthly meetings, conferences and conference planning sessions, and all in-person meetings.
· Report regularly to EC via omta-ec@yahoogroups.com e-mail.
· Provide quarterly reports for publication in Touchstone.
· Recruit and set up a working network of LMTs in their area.
· Recruit new OMTA members.
· Work with the EC in planning and development of OMTA activities in their area.
· Travel within the area, if appropriate.
· Send information packets to LMTs to keep them informed of OMTA activities.
· Transfers all area information to incoming Area Representative.

TOUCHSTONE EDITOR
Appointed Position

REPORTS TO: OMTA Executive Committee (EC).

JOB SUMMARY: Touchstone Editor coordinates publication of Touchstone.

JOB OBJECTIVE: Requests, organizes and edits articles for publication to create a professional journal.

REQUIREMENTS:
· Current license as LMT.
· Read and be familiar with current by-laws.
· Agree to follow Code of Ethics, Mission Statement, Vision, Goals and decision-making process.
· Agree to follow OMTA operating guidelines.
· Some statewide and within area travel may be necessary (travel reimbursed).
· Be a member of OMTA.

TASKS:
· Attend monthly meetings, conferences and conference planning sessions, and all in-person meetings.
· Report regularly to EC via omta-ec@yahoogroups.com e-mail.
· Publish Touchstone a minimum of three times per year.
· Requests articles from OMTA members and other professionals on topics related to massage.
· Organizes articles, advertising and other material for publication.
· Works with the advertising manager.
· Receive emailing information and preferences from Membership.
· Sends draft copies to volunteer(s) within OMTA for proofreading prior to publishing.
· Transfers all Touchstone information to incoming Editor.

JOB SUMMARY: The Webmaster maintains OMTA's web site and appropriate links.

JOB OBJECTIVE: Keeps OMTA's web site current, accurate and exciting.

REQUIREMENTS:
· Current license as LMT.
· Read and be familiar with current by-laws.
· Agree to follow Code of Ethics, Mission Statement, Vision, Goals and decision-making process.
· Agree to follow OMTA operating guidelines.
· Familiar with OMTA's Mission, Vision, and Objectives.
· Be a member of OMTA.
· Familiar with the internet and capable of building and maintaining a web site.

TASKS:
· Attend monthly meetings, conferences and conference planning sessions, and all in-person meetings.
· Report regularly to EC via omta-ec@yahoogroups.com e-mail.
· Maintains the OMTA web site per instructions of the OMTA EC.
· Transfers all website information to incoming Webmaster.

ADVERTISING MANAGER
Appointed Position

REPORTS TO: OMTA Executive Committee (EC).

JOB SUMMARY: The Advertising Manager solicits and manages advertising for Touchstone.

JOB OBJECTIVE: Communicates with advertisers and potential Touchstone and omta.net advertisers.

REQUIREMENTS:
· Current license as LMT.
· Read and be familiar with current by-laws.
· Agree to follow Code of Ethics, Mission Statement, Vision, Goals and decision-making process.
· Agree to follow OMTA operating guidelines.
· Familiar with OMTA's Mission, Vision, and Objectives.
· Be a member of OMTA.

TASKS:
· Attend monthly meetings, conferences and conference planning sessions, and all in-person meetings.
· Report regularly to EC via omta-ec@yahoogroups.com e-mail.
· Performs Advertising Manager duties per instructions of the OMTA EC.
· Answers questions from prospective advertisers.
· Mails or emails a flyer and/or rate sheet to all prospective advertisers in advance of issue deadline for each issue.
· Sends itemized report and money collected from advertisers to Treasurer.
· Solicits new ads for Touchstone and omta.net.
· Transfers all Advertising Manager information to incoming Advertising Manager.

LIBRARIAN
Appointed Position

REPORTS TO: OMTA Executive Committee (EC).

JOB SUMMARY: The Librarian maintains OMTA's library of books, videos, CDs, DVDs and other materials.

JOB OBJECTIVE: Keeps OMTA's Library records current and accurate.

REQUIREMENTS:
· Current license as LMT.
· Read and be familiar with current by-laws.
· Agree to follow Code of Ethics, Mission Statement, Vision, Goals and decision-making process.
· Agree to follow OMTA operating guidelines.
· Familiar with OMTA's Mission, Vision, and Objectives.
· Be a member of OMTA.
· Familiar with computerized databases and capable of building and maintaining a computerized database of library materials.

TASKS:
· Attend monthly meetings, conferences and conference planning sessions, and all in-person meetings.
· Report regularly to EC via omta-ec@yahoogroups.com e-mail.
· Maintains the Library per instructions of the OMTA EC.
· Research and seek out new and interesting material.
· Responds to requests and return deadlines in an accurate and timely manner.
· Maintain media, provide a timely response to member requests.
· Provide digital pictures and short descriptions of items in library to Webmaster.
· Send out requests for donations of books, music and videos.
· Send in applications to become book reviewer for trade magazines with reviews will be published on www.omta.net.
· Transfer all Librarian information to incoming Librarian.

STORE MANAGER
Appointed Position

REPORTS TO: OMTA Executive Committee (EC).

JOB SUMMARY: The Store Manager finds sources for purchases, maintains physical and accounting inventory, sets up and maintains Internet store, transports inventory to onferences (including CEU) and where requested by the EC, displays inventory for sale, collects monies to turn over to Treasury.

JOB OBJECTIVE: Keeps Store inventory accurate, up to date, stored in manner protecting products and to facilitate product sales.

REQUIREMENTS:
· Current license as LMT.
· Read and be familiar with current by-laws.
· Agree to follow Code of Ethics, Mission Statement, Vision, Goals and decision-making process.
· Agree to follow OMTA operating guidelines.
· Familiar with OMTA's Mission, Vision, and Objectives.
· Be a member of OMTA.
· Familiar with the internet, on-line store sales, and e-mail.

TASKS:
· Attend monthly meetings, conferences and conference planning sessions, and all in-person meetings.
· Report regularly to EC via omta-ec@yahoogroups.com e-mail.
· Performs Store Manager duties per instructions of the OMTA EC.
· Answers questions from prospective customers.
· Submits all proposals for purchasing new items to EC. All purchases over $50 must be pre-approved by the EC.
· Sends itemized report and money collected from customers to Treasurer.
· Transfers all Store Manager information to incoming Store Manager.

Appointed Position

REPORTS TO: OMTA Executive Committee (EC).

JOB SUMMARY: The Conference Registrar maintains accurate records of Conference registrees, sends necessary correspondence, sends and confirms contracts with presenters, makes cabin assignments and class lists. Works with Vice President who oversees contracts with conference sites and presenters.

JOB OBJECTIVE: Keeps OMTA's Annual Conference records current and accurate.
